Search bugs (again)

The Windows Update released in December broke Outlook’s ability to search. The main symptom is that search results aren’t updating, and recent items (since the update was installed or you rebuilt the index) aren’t found. If you rebuild the index, those items will be found, but it needs to be rebuilt frequently to be useful.

As with most of the previous search bugs, its mostly POP and IMAP accounts that are affected, but also Exchange mailboxes if Outlook is offline.

The workaround until it’s fixed: drop back to Outlook’s built-in Search. It’s a little slower to return results but effective.
HKEY_LOCAL_MACHINE > SOFTWARE > Policies > Microsoft > Windows > Windows Search
DWORD: PreventIndexingOutlook
Value: 1

To edit the registry, press Windows key + R and type regedit in the Open box. Press Enter or click OK to open the Registry Editor.

  1. Browse to this key: HKEY_LOCAL_MACHINE > SOFTWARE > Policies > Microsoft > Windows
  2. Right-click, choose New > Key and name the new key Windows Search.
  3. Select the new Windows Search key.
  4. Right-click, choose New > DWORD Value.
  5. Type (or paste) PreventIndexingOutlook as the name of the DWORD, and press Enter.
  6. Right-click on PreventIndexingOutlook and click Modify.
  7. In the Value data box, type 1 to enable the registry entry, and then click OK.
  8. Close the Registry Editor.
  9. Restart Outlook.

Another option is to remove Outlook from Windows Search. However, this method displays a banner at the top of the search results, saying search couldn’t be completed.

  1. Open Indexing Options from Control panel.
  2. Click the Modify button and untick Outlook.
  3. Close the dialog.

Search in Outlook for Mac

Lest you think Outlook for Mac in immune to search issues, after a recent MacOS update for Monterey, search in the classic Outlook for Mac stopped working.

Search works if you switch to New Outlook and some users report that search works again in the classic Outlook when you switch back to it.

Suggested attachments in Outlook on the web

A few weeks ago I shared how to change the number of files listed in Attach File menu in Outlook desktop. A user wanted to know if he could remove files from the Suggested attachments list in Outlook on the web.

The Suggested attachments list in Outlook on the web lists three recently created files in OneDrive or attachments sent in email. If you want to remove an attachment from the suggested list, you need to delete the file from OneDrive or from your mailbox.

If the file is an email attachment, find the email message and delete it. You can use Search or find the file in the Files module and delete the message the file is attached to.

If you want to remove any of the files from the Files module list (even if they are not a Suggested attachment), you will need to delete the message the file is attached to.

  1. Switch to the Files module and select the Files folder.
  2. Find and open the attachment you want to delete in the list.
  3. Click the button to view the email (on the upper right)
  4. Click the 3 dots in the message menu bar
  5. Select Delete from the menu.

After you close the message and attachment, the attachment will be removed from the suggested files list.
